JOB FUNCTION:
This Administrative Assistant position provides critical administrative support to the Executive Director, President, Policy Department and General Counsel, and plays an important role in ensuring that operational tasks are completed in an effective and timely manner.  The role offers a great opportunity to learn about the City Bar’s work, interact with various staff and City Bar members, and contribute to the team that helps the City Bar accomplish its mission and have a positive impact.

Areas of responsibility include, but are not limited to the following:
  • Assist the President, Executive Director, Policy Department and General Counsel in various aspects of the operations of the New York City Bar Association.
  • Under the direction of the Executive Director and the General Counsel, provide support for the operation of the Board of Directors, including, coordinating meetings, organizing board orientation, and preparing Board materials.
  • Help manage the organizational logistics of the City Bar’s delegation to the New York State Bar Association.
  • Provide administrative support to the President and the Policy Department staff in their review and release of approximately 150 committee policy reports per year, including, managing intake, word processing review and editing, proper formatting and finalization per style guide, report database management, website posting and (as needed) distribution to public officials.
  • Preparation and coordination for multiple meetings (Nominating Committee, President/Executive Director meetings, Committee Chair Meetings, etc.)  including scheduling on several calendars, preparing and organizing materials, and arranging for meeting set-up, including those with international delegations, along with other responsibilities
  • Handle coordination and preparation for certain high-profile City Bar events with staff, committees, members of the Association, government officials, judges and others
  • Daily review of President’s and Executive Director’s public facing City Bar email accounts, as well as phone screening
  • Undertake other assignments and duties to support the overall efforts of the Association, as assigned
SKILLS/REQUIREMENTS:
  • Associate level degree or higher, or equivalent experience
  • Minimum 1 year of office work experience (internships acceptable)
  • Resourceful and flexible self-starter with excellent time management and prioritization skills who has the ability to work both collaboratively and independently
  • Excellent communication (both written and oral), judgment, interpersonal, problem-solving, multi-tasking and organizational skills required
  • Excellent computer, word processing, database management skills; this includes, but is not limited to, use of the Microsoft Office 365 suite of programs (in particular Word and Excel), Calendly/Doodle, and Pinpoint. Experience with membership databases (such as IMIS) and / or government relations software is a plus (training will be provided as needed)
  • Excellent customer service skills on the phone, online, and in-person
  • Strong attention to detail
  • Flexibility to work some early morning and evening hours
This position will have a hybrid work schedule with some flexibility for the days scheduled to be in the office (generally 2 - 3 days each week); balance of time from home. In-person attendance is also required on occasion, with infrequent regularity for certain events and meetings, with advance notice.

Starting salary for this role is $50,000 - $52,000 (annualized) based on experience, for a 35-hour work week, plus additional pay for overtime.
